Why do we need an archiving policy and data retention times?

Given the large volume of data that the platform has to manage, a maintenance strategy has been put in place to preserve the performance of the system.

This guide lists the usage thresholds in effect on the platform.

Duration of functionalities

  • Archiving actions related to a One-shot campaign: 2 months

  • Archiving actions related to an Automations campaign: 1 month

  • Archiving data and events related to the SMTP Relay service: 1 month

  • Collection of tracking data (clicks and openings): 7 days

Data Retention Times

  • temporary files: 12 months (from last use)

  • mirror pages: 3 months

  • files uploaded via SFTP server: 30 days (compression after 7 days)

  • individual campaign statistics: 2 months

  • statistics of Automations campaigns linked to an individual: 1 month

  • file import reports: 2 days

The archiving date of campaigns is always calculated based on the date of creation of the campaign and not on the launch date. 

Raw event data

Starting February 15th, 2024, Splio implemented a maximum data retention period of 13 months for raw event data related to the sending of communications on our Marketing Automation platform.

Types of data affected by the update

  • Raw events related to the sending of communications on all channels, such as emails, SMS, and push notifications.

Types of data unaffected by the update

  • Reaction-type events to communications, such as email openings and clicks.

  • Any other type of data, such as sales data or sales tracker data, for example.

This data is often used in Target to identify inactive contacts. We recommend you read the following guide: Google is updating its inactive account policies - and here is why you should pay attention.

Impacts on campaign archiving

  • You can no longer export campaign recipients after 60 days.

  • The following information is not available in the campaign overview:

    • Impact per population

    • Delivery per domain

    • Unsubscription reasons

    • Sales ROI

  • You cannot compare data from the "compare" feature in campaign statistics after this period.

However, archiving does not impact the following data:

  • Global Statistics

  • Delivery (but not Delivery per domain)

  • Reactivity (but not the unsubscription reasons

  • Reactivity per link

  • Sales tracker information

  • Retargeting using the campaign category or link category.
